Your privacy is critically important to us. At Kepler we have a few fundamental principles:
- We don’t ask you for personal information unless we truly need it.
- We don’t share your personal information with anyone except to comply with the law, to develop our classes and other services, or to protect our rights.
- We don’t store personal information on our servers unless required for the on-going operation of one of our services (such as an email address for the newsletter, a webinar or a general workshop, or an email and other address information for our certificate program).
- We want to make it as simple as possible for you to control what’s visible to the public, seen by search engines, kept private, and permanently deleted.

Website Visitors
Like most website operators, Kepler collects non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. Keplers purpose in collecting non-personally identifying information is to better understand how Keplers visitors use its website. From time to time, Kepler may release non-personally-identifying information in the aggregate, e.g., by publishing a report on trends in the usage of its website.
Kepler also collects potentially personally-identifying information like Internet Protocol (IP) addresses for logged-in users in our certificate course website. Kepler only discloses logged in user and commenter IP addresses under the same circumstances that it uses and discloses personally-identifying information as described below, except that comment IP addresses may be visible and disclosed to the administrators of the course website.
Gathering of Personally-Identifying Information
The amount and type of information that Kepler gathers depends on the nature of your interaction. For example, we ask visitors who subscribe to our newsletters or attend a free webinar to provide at least a username and email address. Those who engage in transactions with Kepler – by signing up for a class or purchasing an item – are asked to provide additional information, including as necessary the address and financial information required to process those transactions. In each case, Kepler collects such information only insofar as is necessary or appropriate to fulfill the purpose of the your interaction with us. Kepler does not disclose personally-identifying information other than as described below. And visitors can always refuse to supply personally-identifying information, with the caveat that it may prevent them from purchasing classes or other items.
At any time, someone who is subscribed to our newsletter can unsubscribe or refuse all emails from our newsletter mailing system.
Aggregated Statistics
Kepler may collect statistics about the behavior of visitors to its websites. For instance, Kepler may monitor the most popular blogs. And Kepler may provide the aggregated statistics without any personal identifying information to others. But Kepler does not disclose personally-identifying information other than as described below.
Protection of Certain Personally-Identifying Information
Kepler discloses potential and actual personally-identifying information only to those of its employees, contractors and affiliated organizations that
- need to know that information in order to process it on Kepler’s behalf or to provide services available at Kepler’s websites, and
- that have agreed not to disclose it to others.
Some of those employees, contractors and affiliated organizations may be located outside of your home country.
By using Kepler’s services (such as signing up for courses or puchasing items from the Kepler store), you are consenting to the potential transfer of such information.
Kepler will not rent or sell potential or actual personally-identifying information to anyone.
Other than its employees, contractors and affiliated organizations, as described above, Kepler discloses potentially and actual personally-identifying only in response to a subpoena, court order or other governmental request, or when Kepler believes in good faith that disclosure is reasonably necessary to protect the property or rights of Kepler, third parties or the public at large.
If you are a registered user of Kepler courses, Kepler may send you an email or newsletter to tell you about new courses or features, solicit your feedback, or just keep you up to date with what’s going on with Kepler. As a general rule, we do not send our newsletters more than twice a month. You can unsubscribe at any time. Kepler takes all measures reasonably necessary to protect against the unauthorized access, use, alteration or destruction of potential or actual personally-identifying information.
Cookies
A cookie is a string of information that a website stores on a visitor’s computer, and that the visitor-s browser provides to the website each time the visitor returns.
Kepler’s main webiste and course website use cookies to help Kepler identify and track visitors, their usage of the website, and their website access preferences. Kepler visitors who do not wish to have cookies placed on their computers should set their browsers to refuse cookies before using Kepler’s website, with the drawback that certain features of Kepler’s course website may not function properly without the aid of cookies.
Business Transfers
If Kepler, or substantially all of its assets, were acquired, or in the unlikely event that Kepler goes out of business or enters bankruptcy, user information would be one of the assets that is transferred or acquired by a third party. By opting into our courses or services, you are acknowledging that such transfers may occur, and that any acquirer of Kepler may continue to use your personal information as set forth in this policy.
Ads
Kepler rarely has advertising by outside vendors on its website or in its newsletter. However, in those cases where there is an ad that may be delivered outside vendors, these vendors may set cookies. These cookies allow the ad server to recognize your computer each time they send you an online advertisement to compile information about you or others who use your computer. This information allows ad networks to, among other things, deliver targeted advertisements that they believe will be of most interest to you.
This Privacy Policy covers the use of cookies by Kepler and does not cover the use of cookies by any advertisers.
Comments
Comments, assignments and other content submitted as part of your interactions on the course website are saved on our servers unless they were deleted because they were spam, off topic or offensive, in which case we store them long enough to ensure it won’t happen again.They will also be backed up as part of our local backup process to help you and Kepler if there are any questions related to the accuracy of your student records.
Privacy Policy Changes
Although most changes are likely to be minor, Kepler may change its Privacy Policy from time to time, and in Kepler’s sole discretion. Kepler encourages visitors to frequently check this page for any changes to its Privacy Policy. If you are registered on the course website, you should also check for alerts to these changes. Your continued use of this site after any change in this Privacy Policy will constitute your acceptance of such change.

How we use your information
In general, Kepler College uses your personal information to assist with your access to our programs, to internally analyze the success of our programs, and to comply with governmental regulations.
Scholarship Application: If you submit a scholarship application, we will ask for your email and complete mailing address and phone as well as the reason you are requesting a scholarship so that we can best process your application. This information is kept as part of our internal records and will be analyzed by members of the Kepler administration to help us better understand student needs. Scholarships applications are kept on file for 3 years. Any student who has made a scholarship application can request to have it deleted earlier by emailing registrar@keplercollege.org. This may impact your ability to receive a continuing scholarship.
Signing up for Community webinar, workshop or course through one of our online meeting providers. LogMeIn or Zoom keeps these records for one year. Kepler will use your email information to send you links to the recorded presentation and offer you a chance to subscribe to our newsletter. If you do subscribe to the newsletter, you can opt out at any time by clicking on the “unsubscribe” button or emailing info@keplercollege.org.
Kepler store: The Kepler College store is run by ECWID and/or Woo Commerce. The store collects your IP address, email address, phone and billing address and, if shipping is required, your shipping address. This information is used internally to help ensure a smooth transaction, to assist in any disputes regarding payment and delivery options, and to comply with financial regulations, including local and state tax requirements. This information is secured internally by Kepler for at least 7 years in case of governmental or other disputes. In addition, payment information is tracked by our bookkeeping system, our bank, your credit card company, and our payment processors: PayPal, Square or Stripe.
Workshops: When you register for a workshop, the instructor of the workshop will have access to the name and email address you used when registering.
For-Credit Courses: When you register for a certificate program course, the instructor will have access to your name, email address, phone number, and country or state (U.S.). This information is used to help the instructor keep in contact with the student, to send notices, and to assist with determining meeting times. By default, student emails in the Moodle course site are not visible to other students. Any student can change this setting in their own profile. Students who do not want to use their legal name or choose to have a different email in their courses need to let the Kepler registrar know both their legal name and the name and email they wish to use (email registrar@keplercollege.org).
Instructors and teaching assistants have access to all student work submitted in their courses. The Kepler President, Registrar, Director of the Certificate Program, and Student Services may also need access to such work from time to time to help resolve technical issues, help resolve a conflict, or help improve our course offerings.
Some instructors may request personal information to use natal charts during class. It is up to the student whether or not they want to participate. These sessions will not be sold to the general public. Instructors are asked to not use full names or birth data on charts shared in recorded sessions. If there is such information visible, students have the right to ask that this portion of any recorded session be deleted.
The Kepler registrar/or our Moodle platform will enter student information, including email address, mailing address and grading information to an internal password-protected database in order to track student progress. This database information is only made available to the Bookkeeper, Operations and the Administrative Council. The information remains as part of the student’s permanent record. Any student can email registrar@keplercollege.org to have all their information removed from the database. In that case, the student will also lose access to any verification from Kepler for the work they have completed.
When a student completes a certificate or a diploma, the Kepler registrar or assistant will use the student’s email to send a copy of the electronic certificate or diploma. In addition, students will be asked if they agree to have their name posted to our website. All students have the right to remain anonymous or to have their name removed from the website at any time. Email registrar@keplercollege.org to make this request.
Internally, members of the Kepler administration (President, Operations, Board of Trustees or Director of Education) may use student names and email addresses in the aggregate to help us analyze the growth and interest in our different program offerings. These databases or spreadsheets are only for internal administrative use and are password protected.
Financial: The Kepler bookkeeper, CPA and administration will have access to student address information and financial payments as part of Kepler’s internal password-protected bookkeeping operations. This information is necessary to comply with governmental regulations.
